1. Agreement to Terms

By accessing or using CV-BOT ("the Service"), operated by CV-BOT Ltd, a company registered in the United Kingdom, you agree to be bound by these Terms of Service. If you disagree with any part of these terms, you do not have permission to access the Service.

These Terms apply to all users of the Service, including users who purchase licenses, team members invited to use the Service, and any visitors to our website.

2. Description of Service

CV-BOT is a desktop application that helps recruitment agencies format and transform CVs/resumes into branded templates. The Service includes:

  • Desktop application for Windows and macOS
  • CV/resume processing and formatting capabilities
  • Template design and management tools
  • License management and user administration

3. License and Usage Rights

Upon purchase, you are granted a non-exclusive, non-transferable license to use CV-BOT subject to the following conditions:

  • Seat-based licensing: Each license permits use by the number of users (seats) purchased
  • Commercial use: You may use CV-BOT for commercial purposes within your organization
  • No redistribution: You may not redistribute, resell, or sublicense access to CV-BOT
  • No reverse engineering: You may not reverse engineer, decompile, or disassemble the software
  • Updates: License includes access to software updates during your license period

4. Account Registration

To use CV-BOT, you must create an account. You agree to:

  • Provide accurate and complete registration information
  • Maintain the security of your account credentials
  • Notify us immediately of any unauthorized access to your account
  • Accept responsibility for all activities that occur under your account

5. Payment Terms

  • All payments are processed securely through Stripe
  • Prices are displayed in GBP (£) unless otherwise stated
  • Licenses are sold as one-time purchases unless otherwise specified
  • You are responsible for any applicable taxes in your jurisdiction
  • Additional seats can be purchased and added to your existing license

6. Refund Policy

We want you to be satisfied with CV-BOT. Our refund policy for business licenses is as follows:

  • 14-day refund period: You may request a full refund within 14 days of purchase if you are not satisfied with the Service
  • How to request: Contact us at support@cv-bot.co.uk with your order details
  • Processing time: Refunds are typically processed within 5-10 business days
  • License termination: Upon refund, your license will be terminated and you must cease using the software

7. User Responsibilities

When using CV-BOT, you agree to:

  • Use the Service only for lawful purposes
  • Ensure you have the right to process any CVs or personal data you upload
  • Comply with all applicable data protection laws (including GDPR where applicable)
  • Not use the Service to process data that you do not have authorization to use
  • Not attempt to interfere with or disrupt the Service

8. Data Processing

CV-BOT processes CVs and personal data as follows:

  • Local processing: CV data is processed locally on your device by the desktop application
  • Your responsibility: You are the data controller for any CV data you process using CV-BOT
  • Candidate consent: You are responsible for ensuring you have appropriate consent or legal basis to process candidate data

9. Intellectual Property

CV-BOT and its original content, features, and functionality are owned by CV-BOT Ltd and are protected by international copyright, trademark, and other intellectual property laws.

Templates and documents you create using CV-BOT remain your property.

10. Disclaimer of Warranties

The Service is provided on an "AS IS" and "AS AVAILABLE" basis. We make no warranties, expressed or implied, regarding:

  • The operation or availability of the Service
  • The accuracy or completeness of any CV processing or formatting
  • That the Service will meet your specific requirements
  • That the Service will be uninterrupted or error-free

11. Limitation of Liability

To the maximum extent permitted by law, CV-BOT Ltd shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to:

  • Loss of profits, data, or business opportunities
  • Any errors in CV processing or formatting
  • Service interruptions or downtime

Our total liability shall not exceed the amount you paid for the Service in the 12 months preceding the claim.

12. Termination

We may terminate or suspend your access to the Service immediately, without prior notice, for:

  • Breach of these Terms of Service
  • Fraudulent or illegal activity
  • Non-payment of fees

Upon termination, your right to use the Service will cease immediately.

13. Changes to Terms

We reserve the right to modify these terms at any time. We will notify users of any material changes via email or through the Service. Your continued use of the Service after such modifications constitutes acceptance of the updated terms.

14. Governing Law

These Terms shall be governed by and construed in accordance with the laws of England and Wales, without regard to its conflict of law provisions. Any disputes arising from these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
